At HolidaySeva Tours Private Limited ("HolidaySeva", "we", "us", or "our"), we understand that travel involves sharing personal information — names, contact details, identification documents, travel dates and accommodation preferences are often necessary to arrange a journey, coordinate with our travel partners, and support you throughout the booking process. This policy explains how we collect, use, store, share and protect that information whenever you visit Holidayseva.com, contact our team, request a quotation, enquire about a destination, make a booking, or otherwise use our travel services. It should be read alongside any Terms and Conditions, Booking Terms, and Cancellation and Refund Policies that apply to the specific service you've booked. By using our website or sharing information with us, you acknowledge that you've read and understood how that information may be handled, subject to applicable law.
1About HolidaySeva
HolidaySeva Tours Private Limited is a travel and tourism company providing travel planning, booking assistance and related tourism services across India.
Depending on your enquiry or booking, our services may include holiday and tour packages, hotel and accommodation arrangements, transportation, sightseeing, pilgrimage tours, ferry or boat arrangements, air, rail and bus travel assistance, local transportation, customised itineraries, destination assistance, guide services and other travel-related arrangements.
Because travel is inherently multi-party, we may need to collect and share certain traveller information with hotels, transport operators, airlines, rail or bus service providers, local representatives, guides, payment providers and other authorised partners involved in fulfilling your requested arrangements.
2Information covered by this policy
This policy applies to personal information we receive or collect through a number of different channels — directly from you, automatically through our website, or from others involved in fulfilling your travel plans.
- Information you give us directly — through enquiry forms, booking forms, phone calls, email, WhatsApp, social media, or conversations with our team.
- Information generated when you use our website — technical details, browser and device information, approximate location, and the pages you visit.
- Information we receive from someone booking on your behalf, or from travel suppliers and service providers involved in fulfilling your booking.
3Personal information we collect
What we collect depends on how you interact with us and the specific service you're requesting. We aim to collect only what's reasonably relevant to that service.
For an enquiry or quotation
Full name, mobile number, email address, residential or billing address, city, state, country and other contact details needed to respond.
For a confirmed travel arrangement
Age or date of birth, gender, emergency contact information, and anything else genuinely required for that particular booking or service.
We don't intend to collect personal information that isn't necessary for legitimate travel, customer-service, operational or legal purposes.
4Traveller & booking information
Travel arrangements often need more detail than a simple website enquiry. When you request or confirm a booking, we may collect:
- Traveller names, number of travellers, travel dates and destinations
- Pickup and drop-off locations, hotel preferences and room requirements
- Transportation and meal preferences, and other itinerary details
- Booking history, previously requested services, and package details
- Itinerary changes, cancellation and refund requests
Names and identification details used for bookings should exactly match your travel documents — mismatches can cause real difficulties with airlines, hotels, transport providers and immigration authorities.
5Identification & travel documents
Some travel services require formal identification. Depending on what you're booking, we may need to collect or process information from documents such as passports, visas, government-issued IDs, driving licences, voter ID, age proof, or other documents accepted by the relevant provider or authority.
We only request this when it's reasonably necessary for the arrangement, verification process or booking requirement — and we ask that you share such documents only through appropriate channels.
HolidaySeva never asks for confidential authentication information — passwords, OTPs, UPI PINs, card security codes or similar credentials.
6Special assistance & accessibility
If you let us know that a traveller needs wheelchair assistance, senior-citizen support, dietary accommodation, or any other form of special assistance, we process that information only to arrange or coordinate the specific service requested — and keep it limited to what's genuinely necessary.
Where an airline, hotel, transport operator or cruise operator needs particular information to provide that assistance, we may share the relevant details with them for that purpose alone.
7Payment & transaction information
Payments are processed through third-party payment gateways, banks, UPI providers and other authorised financial institutions. Depending on the method and transaction, we may receive payment status, a transaction reference number, the amount paid, the payment date, billing information and refund status.
We generally don't directly store complete card numbers, CVVs, UPI PINs or net-banking passwords when payments are processed through an authorised third-party provider.
8Communications with us
We retain information contained in communications between you and HolidaySeva — over email, phone, WhatsApp, our website's enquiry forms, social media, or other support channels. This might include destination preferences, requested quotations, travel dates, booking requirements, payment status, hotel or transport arrangements, itinerary changes, or customer-service requests.
We keep these communications where reasonably necessary for booking management, customer support, dispute resolution, service improvement, internal record-keeping, or compliance.
9Website & technical information
When you visit Holidayseva.com, certain information is collected automatically — your IP address, browser and device type, operating system, approximate location derived from your IP, pages viewed, referring website, and the date and time of your visit. This is gathered through server logs, cookies, analytics and similar technical mechanisms, and helps us understand how the site is used, catch technical problems, maintain security, and improve performance.
10How we use your information
We use personal information primarily to provide, administer and improve the travel services you've requested:
- Responding to enquiries, preparing quotations and understanding your travel requirements
- Processing bookings, confirming reservations, and coordinating hotels, transport, sightseeing and guides
- Sending booking confirmations, payment updates, itinerary details, pickup information and travel-change notices
- Providing customer support, processing refunds, and managing cancellations and changes
- Coordinating special assistance, preventing fraud, and maintaining accounting and business records
- Understanding website usage and improving our services and security
- Where permitted by law, sharing information about new tour packages or promotional offers
- Complying with legal or regulatory requirements, and establishing or defending legal claims
We aim to keep our use of personal information reasonably necessary and proportionate to the purpose it serves.
11Sharing with travel partners
Travel is, by nature, a multi-party service — in many cases we simply can't complete a booking without giving relevant traveller information to whoever is actually delivering that part of the trip.
Delivering your trip
Hotels, airlines, rail and bus operators, car and taxi operators, ferry and boat operators, local transport providers, guides and destination-management companies.
Supporting our business
Insurance providers, payment gateways and banks, hosting and technology providers, communication providers, and accounting or professional advisers.
We share only what's reasonably necessary for the specific service — a hotel typically needs a name and booking details; a transport provider needs passenger names and pickup information; a regulated travel provider may need identification details. These partners operate independently and may have their own privacy practices, which we don't control.
12Information we do not sell
HolidaySeva does not sell or rent your personal information to unrelated third parties for monetary consideration. This doesn't prevent us from sharing information with travel suppliers, payment providers, technology partners or professional advisers where necessary to deliver a service, run our business, or comply with legal requirements.
13Cookies & similar technologies
Holidayseva.com uses cookies and similar technologies to support the site's operation and functionality — remembering preferences, maintaining core features, understanding how visitors move through the site, measuring traffic, and supporting security and fraud prevention. We may also use technologies provided by third parties, including analytics services, embedded maps and social-media integrations.
You can generally control or delete cookies through your browser settings, though disabling certain cookies may affect site functionality. Where the law requires consent before placing non-essential cookies, we'll ask for it.
14Analytics services
We may use Google Analytics or similar services to understand website traffic and visitor behaviour — IP address information, device characteristics, browser information, pages visited and time spent on-site. These providers operate independently under their own terms and privacy policies, and the data helps us understand performance and improve the experience on Holidayseva.com.
15Advertising & remarketing
We may use digital advertising and remarketing services from platforms such as Google or Meta. These platforms may use cookies to recognise a previous visit to our site and later show you HolidaySeva ads elsewhere. They operate independently and process information under their own policies — you can typically manage ad preferences through the relevant platform, your browser, or device settings.
16WhatsApp, phone, email & more
We may reach you by phone, email, SMS, WhatsApp or other channels to respond to enquiries, share quotations, confirm bookings, send payment or travel updates, coordinate pickups, or provide support. Where the law requires it, we'll seek consent before sending promotional messages about new packages or offers — and you can ask us to stop those at any time.
Opting out of promotions won't stop essential transactional messages tied to an existing enquiry, booking, payment, cancellation or refund.
17Payment security
Payments are handled by third-party gateways, banks, UPI platforms and other authorised processors under their own security practices and terms. We don't normally receive or retain complete confidential card or banking credentials when a payment goes through an authorised provider.
Never share an OTP, UPI PIN, card CVV or banking password with a HolidaySeva employee or anyone claiming to represent us. If a payment request looks suspicious, verify it independently through our official contact channels before paying.
18Data security
We take reasonable administrative, organisational and technical measures designed to protect your personal information against unauthorised access, misuse, loss, alteration, disclosure or destruction — calibrated to the sensitivity of the information and the systems it moves through.
That said, no website, transmission, or storage system can be guaranteed completely secure. We recommend you also take sensible precautions when sharing personal and travel information online.
19Data retention
We keep personal information for as long as reasonably necessary to fulfil the purpose it was collected for — completing a booking, providing support, maintaining transaction records, meeting accounting or tax requirements, resolving disputes, preventing fraud, or complying with legal obligations. Different categories of information may be retained for different periods.
Once information is no longer reasonably required, we securely delete, anonymise or otherwise dispose of it. In some cases we may need to retain information even after a deletion request, where the law requires it for legal, accounting, tax or dispute-resolution purposes.
20Your privacy rights
Subject to applicable law, you may be able to:
- Request details of the personal data we hold about you
- Ask us to correct inaccurate information
- Ask us to complete or update incomplete or outdated information
- Request erasure of your personal information, where legally permitted
- Withdraw consent where our processing relies on it
- Raise a grievance about how your information has been handled
These rights are subject to legal limitations — for example, we may need to retain certain information even after a deletion request if the law requires it. To exercise any of these, write to info@holidayseva.com. We may need to verify your identity first, to protect your information from unauthorised disclosure.
21Withdrawal of consent
Where we process your information based on consent, you can withdraw it at any time by contacting us. This won't affect the lawfulness of processing that already took place. If the information is necessary for a specific travel service, withdrawing consent may mean we're unable to continue or complete that booking — we'll explain the practical consequences where they're reasonably apparent.
22Children's privacy
We may facilitate bookings involving children and families. Where a child's information is needed to complete a booking, it should normally be supplied by a parent, legal guardian, or someone authorised to book on the child's behalf. We don't knowingly seek unnecessary personal information directly from children, and where the law requires parental or guardian consent, that consent should be obtained before information is shared with us.
23Information about other travellers
If you're booking for family, friends, or a group, you're responsible for having the authority to share their information for that travel purpose — and for keeping it limited to what's actually necessary. Where another traveller's information is needed to complete a booking, please ensure it's accurate and, where required, that they've been appropriately informed.
24Third-party websites
Holidayseva.com may link to or integrate with external sites — hotel and airline websites, tourism authorities, payment providers, maps, social platforms, and other travel services. Once you leave our site or interact directly with an independently operated service, that provider's own privacy practices apply, and we don't control them. We'd recommend reviewing a third party's policy before sharing personal information with them.
26Legal disclosures
We may disclose personal information where necessary to comply with the law, respond to a valid legal request or court order, investigate suspected fraud, protect our rights or property, protect the safety of customers or others, or establish or defend legal claims. Where legally permitted, we aim to limit such disclosures to what's genuinely relevant to the purpose.
27Business transfers
If HolidaySeva is ever involved in a merger, acquisition, restructuring, or sale of business assets, relevant personal information may form part of the records or assets transferred — always subject to applicable law and appropriate safeguards.
28Processing outside India
Travel services often involve companies operating in other countries — hotels, airlines, booking platforms and technology or payment providers may be based outside your state or outside India. As a result, your information may sometimes be transferred to or processed in another jurisdiction. Where this happens, we handle it in accordance with applicable Indian law and any restrictions on cross-border processing.
29Accuracy of information
You're responsible for making sure the information you give us — especially traveller names, identification details, travel dates, contact details, and pickup or drop-off locations — is accurate, complete and current. Incorrect or outdated information can lead to booking errors, extra charges, delays, or difficulties with travel providers. If something you've told us needs updating, please let us know as soon as possible.
30Complaints & grievances
If you have a question, concern or complaint about how we've handled your personal information, we'd genuinely like to hear from you. Once we receive it, we'll review the matter and work to address it in line with applicable requirements and our internal processes.
Privacy / Grievance Contact
When contacting us, please share enough detail for us to understand your request — we may need additional information to verify your identity or look into the matter properly.
31Changes to this policy
We may update this policy from time to time to reflect changes in our services, website functionality, technology, business practices, or legal and regulatory requirements. Any update will be published here with a revised "Last Updated" date, and will apply from that date unless otherwise stated. We'd encourage you to check back periodically — especially before a new booking or when using a new feature on our site.
32Applicable law
This policy is governed by the laws of India. Our handling of personal information is subject to applicable Indian privacy and data-protection requirements, including the Digital Personal Data Protection Act, 2023, and its associated rules and regulations as they come into effect for our activities. Nothing here is intended to exclude or restrict any right or protection that can't lawfully be excluded under applicable law.
33Contact us
Questions about this policy, a privacy request, or anything else related to how we handle your personal information — we're here for it.
HolidaySeva Tours Private Limited
We value the trust you place in us when you share your personal and travel information, and we're committed to using it responsibly — for legitimate travel, booking, customer-service, operational, legal and business purposes, in line with applicable requirements.
25Social media
We maintain profiles on platforms like Facebook, Instagram, YouTube and WhatsApp. Anything you share directly with those platforms is processed under their own policies. If you contact us through social media, we may retain relevant details for support, booking management, or record-keeping. Remember that anything posted publicly on social media may be visible to others, with different privacy expectations than information sent directly to us.
